2. Hotel Accommodation Cancellations

2.1 Standard Reservations

48+ Hours Before Check-In

Full refund, no cancellation fee

24-48 Hours Before Check-In

Refund minus one night's room charge

Less Than 24 Hours Before Check-In

No refund

2.2 Non-Refundable Rates

Some reservations may be booked at special non-refundable rates. These reservations cannot be canceled or modified, and no refunds will be provided regardless of the cancellation time. The entire stay will be charged at the time of booking.

2.3 Group Bookings (10+ Rooms)

Group bookings are subject to the specific terms outlined in the group contract. Typically, these terms include:

  • 30+ days before arrival: 90% refund of total booking value
  • 15-29 days before arrival: 50% refund of total booking value
  • Less than 15 days before arrival: No refund

2.4 Holiday and Special Event Periods

During holiday periods (e.g., New Year's Eve, Christmas, Thanksgiving) and special events (e.g., major conferences, sports events), the following cancellation policy applies:

  • 30+ days before arrival: Full refund
  • 15-29 days before arrival: 50% refund
  • Less than 15 days before arrival: No refund

Holiday and special event periods will be clearly marked during the reservation process.

3. Dining Reservations

3.1 Standard Restaurant Reservations

  • 24+ hours before reservation: No cancellation fee
  • Less than 24 hours before reservation: $25 per person cancellation fee
  • No-show: $50 per person fee

3.2 Private Dining and Large Parties (8+ Guests)

  • 72+ hours before reservation: No cancellation fee
  • 24-72 hours before reservation: 50% of the minimum food and beverage spend
  • Less than 24 hours before reservation: 100% of the minimum food and beverage spend

3.3 Special Event Dining

For special dining events such as holiday meals, chef's tasting menus, or wine dinners, a credit card is required to secure the reservation, and the following cancellation policy applies:

  • 7+ days before event: Full refund
  • 3-6 days before event: 50% refund
  • Less than 3 days before event: No refund

4. Spa and Wellness Services

4.1 Individual Spa Treatments

  • 24+ hours before appointment: No cancellation fee
  • 4-24 hours before appointment: 50% of treatment cost
  • Less than 4 hours before appointment or no-show: 100% of treatment cost

4.2 Spa Packages

  • 48+ hours before appointment: No cancellation fee
  • 24-48 hours before appointment: 50% of package cost
  • Less than 24 hours before appointment or no-show: 100% of package cost

4.3 Group Spa Bookings (4+ People)

  • 7+ days before appointment: No cancellation fee
  • 3-7 days before appointment: 50% of total booking cost
  • Less than 3 days before appointment: 100% of total booking cost

5. Events and Meetings

5.1 Small Meetings and Events (Under 50 Guests)

  • 30+ days before event: Full refund of deposit
  • 15-29 days before event: 50% refund of deposit
  • Less than 15 days before event: No refund of deposit

5.2 Large Events (50+ Guests)

  • 90+ days before event: Full refund of deposit minus $500 administrative fee
  • 60-89 days before event: 50% refund of deposit
  • 30-59 days before event: 25% refund of deposit
  • Less than 30 days before event: No refund of deposit

5.3 Weddings

  • 180+ days before event: Full refund of deposit minus $1,000 administrative fee
  • 90-179 days before event: 50% refund of deposit
  • Less than 90 days before event: No refund of deposit

Wedding cancellations are subject to the specific terms outlined in the wedding contract.

6. Modifications to Reservations

6.1 Hotel Reservations

Changes to hotel reservations (such as dates, room type, or length of stay) are subject to availability and rate changes. Modifications made within the cancellation period may result in cancellation fees as outlined above.

6.2 Dining Reservations

Changes to dining reservations, including the number of guests, date, or time, are subject to availability. Reducing the number of guests within 24 hours of the reservation may result in a cancellation fee for the reduced number.

6.3 Spa Appointments

Changes to spa appointments are subject to availability. Shortening services or reducing the number of guests within the cancellation period may result in cancellation fees as outlined above.

6.4 Events and Meetings

Modifications to events and meetings, including date changes, reduced attendance, or changes to food and beverage requirements, are subject to the terms of the event contract.

7. Cancellation Due to Force Majeure

In the event of force majeure (circumstances beyond our control, such as natural disasters, government actions, pandemics, or other emergencies), Mynoklen may modify or cancel reservations without liability. In such cases, we will work with you to reschedule your reservation or provide a credit for future use.

If you are unable to travel due to government restrictions or advisories related to force majeure events, we will review your cancellation request on a case-by-case basis and may waive cancellation fees at our discretion.

8. Refund Process

When a refund is approved according to this policy, the following process applies:

  • Credit card refunds are typically processed within 3-5 business days, although it may take up to 14 days for the refund to appear on your statement, depending on your card issuer.
  • Refunds will be issued to the original form of payment used for the reservation.
  • If the original payment method is no longer available, we may issue the refund via an alternative method, such as a check or bank transfer.

9. Travel Insurance

We strongly recommend that guests purchase travel insurance to protect against unforeseen circumstances that may require cancellation. Travel insurance can provide coverage for cancellation fees due to illness, flight cancellations, and other covered events.

Mynoklen does not provide travel insurance and is not responsible for arranging or recommending specific insurance providers.

We understand that special circumstances may arise that require cancellation, such as illness, family emergencies, or travel disruptions.
